A seating-plan checklist for the final weeks

Move from RSVPs to practical wedding seating with household checks, table capacities and catering handoffs.

Start from the current attendance list

Use the latest confirmed RSVPs and keep pending guests visible. Decide how provisional seats will be handled so the layout does not quietly assume everyone is confirmed.

Confirm the actual table setup

Check table shapes, sizes and comfortable capacity with the venue. A table label is not enough to determine how many guests fit once service, décor and accessibility needs are considered.

Place groups thoughtfully

Begin with the couple’s priorities, family groups and guests with specific needs. Review access routes and proximity to speakers, doors or facilities where relevant. Ask about preferences instead of inferring needs from age or appearance.

Reconcile the counts

Compare attending guests, assigned seats, unseated guests and catering meal totals. Every difference should have an explanation. Keep children and vendor meals clearly labeled if they follow different service arrangements.

Create a final handoff

Give the venue and caterer a dated table list with meal and dietary details through an appropriate private channel. Keep the guest-facing seating display separate from private dietary or contact information.
